I didn’t build this calculator because I like spreadsheets.
I built it because I’ve seen what happens when retreat hosts make commercial decisions in the wrong order.
They fall in love with the venue. Choose a price that feels reasonable. Add the obvious costs. Hope the rest will work itself out once enough people book.
Then they deliver the retreat, pay everyone else, look at what’s left, and realise the numbers don’t reflect the work.
My business retreats in Spain have sold out four years in a row, with up to a 51% profit margin.
But the profit is not the whole point.
Getting the commercial model right means I can keep running retreats I actually want to deliver. It means the work feels worth the energy, the responsibility and the time away from the rest of my business. It means I can create a proper experience for the women in the room without quietly wondering whether the numbers are going to make sense afterwards.
That didn’t happen because the venue was lovely.
The venue matters. Of course it does.
But the retreat works because the commercial model behind it works: the pricing, capacity, room setup, fixed and variable costs, margin, contingency and role of the retreat inside the wider business.
